4 Ways To De-Stress Your Business Right Now

What if you could save an hour a day starting - now?

That’s 5 hours per week (given a 5-day workweek) or more than half a day off. That means you could quit working every Friday at 11 am without worrying about all the things you still need to do.

You can do that when you put these four simple and strategic solutions in place, and you can do it right now.

1. Update Your Project Management System

If you’re still managing your team with email or messages, stop it. Things get lost, we miss notifications, and the ball gets dropped. That’s not even considering the time you spend searching through your endless list of emails for that one piece of information you need.

You can keep all your projects in one place for the entire team to see and work from. Signing up for one of the many project management tools available today is a smart move. It isn’t like you only have Asana or Trello to choose from anymore (although Asana is still a great favorite with many); the market has exploded.

A recent Google search on project management software brought up 2.3 billion results and project management tools 2.7 billion. We’re not the only ones looking for help in this area! When there’s this much need for these types of solutions, it’s highly unlikely you won’t find one that fits your needs.

Most of them either have a free version or will allow you to try them out for a specified time at no cost. Find one that feels comfortable and fits best with your needs, and start using having your whole team use it.

Are you a solopreneur like me? You need to be organized, too! You can schedule your content calendar as well as keep all your content in one place. At this time, I’m still using Trello for my articles and creation calendar, as well as for several other endeavors. it's working for me, and that's what matters.

2. Document Properly

Having proper documentation for your systems is critical, and, as a creative person, it’s something that has taken me a while to get comfortable doing. Instead of reinventing the wheel every time you need to produce content, produce a podcast, plan a launch, or gather hashtags for your posts, have a system in place for each task.

Documenting the steps will save you time and energy with the tasks you do consistently, translating to money. Another benefit is when you’re ready to hand them off to your VA - you’re actually ready to hand it over. The bottom line with having systems in place is that there are fewer mistakes, the work gets done faster, and you can make more money doing other things.

3. Create a Business Organization Chart

If your business has grown to where you have a team behind you, this is critical. Rather than have everyone coming to you with questions - or asking the wrong person and getting the wrong answers - take the time to create an old-fashion organization chart.

Add it to your Operations Manual (you have one of those, right?) and make sure your team knows where it is and what it’s for. Not only will it save you time, but everyone will be on the same page, and the whole team functions more efficiently.

4. Use Time Blocking

Time blocking is a fantastic time management tool that I recommend to everyone. You don’t even have to own your own business to reap the benefits, but if you do, it’s a necessity

Essentially, you’ll block out periods of time on your calendar at the beginning of each week where you schedule appointments, daily personal tasks, work items, check emails, relax, exercise, and so on.

You won’t waste time wondering what to do next, and you’ll be amazed at how much more focused and productive you can be. Time blocking is a flexible system you can customize to fit your needs - if you’re interested in learning how to implement it, see my 5-part series on time blocking.

As with any tool, something else may work better for you, so always go with the best fit!

All these systems can be set up in an afternoon - at least initially.

Dare I state the obvious? Saving time in the long run always involves taking a little extra time in the beginning. We all want our businesses running as efficiently as possible, right? And when we de-stress our businesses, we increase the number of people we help and our impact on the world.

Let's get our systems in place!
